Steps in your process will include room reservations, furniture booking, guest invitations, determining linen needs, and picking what style of catering and kind of menu you need to accommodate your guests. We will be happy to help with any portion of this process – you can begin by looking at some of our menu offerings online or by contacting Dine West Catering at 678.839.5982.
Dine West Catering is a full-service caterer, able to provide guests to the university and local clients with meals ranging from a boxed lunch drop-off to full multiple course served meals. We aim to be your one-stop catering shop, and are able to source most linen and flower needs in addition to full catered services.
We provide several general styles of presentation for your guests, including:
Traditional buffet – this style of service is typically reserved for an extended meal period, and would include a multiple course menu – typically, a salad or fruit, starch, vegetable, protein, dessert and beverage. Service can come with plasticware or china and flatware.
A-la-carte – This may be a small snack break after lunch, a continental-style light breakfast, or a late evening dessert bite. Menu items are picked individually, and events typically operate without the need for an attendant. Service can come with plasticware or china and flatware.
Reception – this may include several or many appetizers and desserts, and aims to provide a less structured setting for guests; usually reserved for more social events and after-parties. Considering passing (butlering) some of your menu choices for an upscale twist to your event. Service can come with plasticware or china(includes plates, silverware, and cloth napkins) and flatware.
Served meal – typically consisting of three courses, these meals are served directly to guests and are more structured in their timing, typically elegant and. Serviced with china and flatware.
Dropoff/pickup – these events will typically be for the group on the go, or for an event not requiring a full catered setup. We would provide all menu items in disposable containers, and include appropriate disposable serviceware.
Your menu selections will include all food ordered, all necessary equipment and linen to serve your menu, all necessary labor to execute your event and all plastic plates, cups and cutlery as per your menu items. Additional staffing or bartenders, linen for non-food and beverage tables, upscale cutlery or china serviceware, unique equipment needs, etc may incur additional fees. Standard dining table linens are $4.00 each/per table. Specialty linens are priced separately per event and any additional tables may be skirted at $10.00 per table (cloth and skirt).
Dine West Catering requests you submit a final guaranteed headcount minimally 3 days prior to your event date, to ensure sufficient time to secure the necessary resources to execute your event. If you require more food/services to accommodate a guest overage we may assess additional fees commensurate with the provided services.
Any audio/visual equipment must be sourced by you. If you are a campus group, please contact ITS for you’re A/V needs. If you are coming from off campus, we may work with ITS on your behalf, but cannot be liable for any damaged or missing equipment.
It is your responsibility to ensure that we are able to access the room which you are requesting catering. We ask that you provide a cell phone or emergency contact number in the event that we are obstructed from accessing the location you have requested catering in.
Every day more and more people discover they have a gluten sensitivity, or other dietary restriction. We are able to provide your guests with menu options that will satisfy almost all dietary or allergen restrictions.
It is your responsibility to ensure that you have reserved enough furniture – tables and chairs – to execute your event. If the event is to take place outside the Z6 Dining Building, you will want to contact WIC to make these arrangements. If your event is to take place within the Z6 building, please contact our offices to make these arrangements. For special furniture needs we will work with you directly.
We suggest all event spaced be booked as soon as possible. We request room reservations be booked for all events at least 2 hours before your scheduled ‘start’ time. Larger events may require more time for set up, and would be determined with your catering representative.
Our standard service comes with linen and skirting for any food and beverage tables. Additional linen for guest seating, linen and skirting for registration and general use tables, etc can be rented for an additional fee. All linen necessary for served meal service is included in pricing – linen napkins, tablecloths etc. We are able to source any specialty linen, chair covers etc – please contact our offices if you have special or unique linen needs.
Dine West Catering will haul any ‘back of house’ trash associated with your event that might be generated on-site in the production of food service, however we request you make arrangements with the facility you have booked with to ensure garbage cans are accessible by guests. If you need help with these arrangements please contact our offices.
Please confirm your event 3 days or more prior to the event date. This should include a close look at the start and end times, menu selections, any service notes, location and date. This can be done by reaching out to our office (if a representative has not already contacted you to confirm) or by logging in to your CaterTrax account. Please note we reserve the right to withhold execution of an event order if the event is not confirmed prior to the event date.
You will first need approval from the University of West Georgia Auxiliary Services to proceed with any alcohol service at your event. This process begins by contacting John Lyons, Executive Director of Campus Dining for Auxiliary Services, at 678.839.5076. After obtaining approval, you will need to make arrangements with Dine West Catering to provide bartenders for your event. Bar service can be requested and we mandate 1 bartender per 75 guests. Please note – all alcohol service will end 1 hour prior to the official end time of your event, and we reserve the right to cut off alcohol service at any time. Staffing for your event is at the discretion of Dine West Catering. We will provide sufficient staff to handle your event as decided by our management team. Typically, only buffets or receptions that require replenishing of food items, and served meals, will necessitate on-site staffing throughout the event. Most small events will be staffed for a setup and pickup but may not require a catering staff member to attend the entire event. If you require a catering attendant throughout your event please notify Dine West Catering during the booking process to make arrangements. Please note, additional attendant fees or labor charges may apply to events requiring unique setup or staffing beyond what is included in the price of your menu.
Please contact the Dine West Catering office immediately to speak with a catering representative. We cannot promise fulfillment of your requests but will make every effort to meet your needs. Note that orders placed less than 3 days out may need to be a drop off/pickup, and not a full catered setup – this will be at the discretion of Dine West Catering.My event has run past the scheduled booking time, or the start time needs to be changed last-minute!
Please note that additional staffing fees may be applied to events that run more than 30 minutes past the initial booking time. This fee will typically be $25 per hour per server assigned to your event. We cannot guarantee the accommodation of a need to change the start time of your event less than 1 business day in advance; if this need occurs please contact our offices immediately.
Please contact our catering offices ASAP if you need to cancel your event. Events cancelled more than 3 days from the event date will not incur a penalty. Events cancelled less than 3 business days in advance will incur a 50% charge, and events cancelled day-of will incur a 100% charge. In the event of severe weather, we reserve the right to cancel the provision of catering services, and any cancellation fees may not be assessed.
Our menus vary greatly, and we may not be able to produce each set menu for less than 10 guests, or provide services for groups less than 10. Please contact our offices if you have a special need in this regard.
The simple answer, unfortunately, is no.
We have 3 kinds of serviceware we are able to provide with your event:
Black plasticware – this is our everyday plastic utensil choice. This will include all necessary utensils, cups and plates for your guests, and cost is rolled into your menu selection
Upscale plasticware – this selection is an upscale alternative to our everyday plasticware, and includes clear plates and Reflections silverware, at an additional $1.25 a person. this includes all plates and utensils needed for your event
China serviceware – this will include any necessary china dishware, flatware and glassware necessary to accommodate your menu. Unless for a served meal, china serviceware requests will incur a fee of $2 per person. Please note bar glassware is not included with this, and is an additional $1.00 per person.
To stay in line with state, university and company policy we request that food not be removed from the event site. This is a food safety and health concern.We unfortunately cannot provide to-go boxes to accommodate guests.
Payment in full for all off-campus groups must be made at least 1 business day prior to the event date. On-campus groups may be invoiced for catering services. We accept cash, checks, and university/foundation accounts. If you must pay with a credit card, we will have to make an appointment with the Bursar's office before doing so. Please note, all payments not remitted within 30 days of your event may incur additional late charges. Checks should be made out to ‘University of West Georgia’.
We will gladly accommodate menu tastings to help with your selection process. Please contact our offices to make the necessary arrangements.
We are able to provide catering services off campus, however a travelling fee may be incurred.
